About The Role

Due to our exciting growth, we are now seeking a professional and experienced Executive Assistant to support our Founder & CEO. In this newly created role, you will be responsible for supporting Megan’s day-to-day activities and future planning, designed to ensure she can stay focused on strategic initiatives and client value. You will help maximise her personal efficiency using your exceptional organisation skills.

This is an incredible opportunity to become part of the global movement to help women rise and be integral to its success. You will be working closely with and supporting our Founder and CEO, Megan Dalla-Camina personally and professionally, and collaborating with our small happy team of Unicorns.

  • This is a hybrid role where you will work virtually and also from our main headquarters in Mosman, Sydney. Sydney based is essential.
  • 30+ hours per week, permanent part-time to start with a view to become full-time in the short term. The flexibility to do more hours when required is important.
  • This role is for someone who is a career EA, loves being in a support capacity, who thrives being the invaluable right hand to the CEO and is looking to become a full-time permanent member of the team.

Your Role

  • You are the right hand to the CEO. Your role is to make her role and life easier, help the business run smoothly, anticipate needs and become indispensable.
  • Be a core member of exciting projects and programs and contribute to their success.
  • Client liaison and management – supporting the delivery of our programs, managing the flow of communication with our clients - scheduling calls, setting up Zoom and Teams links, payment processing (Xero), creation of PowerPoint slides & documents (Word, Adobe, Slack, Voxer).
  • Manage priority and project lists daily (Asana, Dropbox).
  • Attend meetings, agenda creation, and minute taking.
  • Calendar management and coordination; setting up internal, external, and video meetings, and coordination across multiple time zones.
  • Email inbox management and managing information flow in a timely and accurate manner.
  • Ensure meeting takeaways are delegated to relevant people and action points have been completed by the relevant team members.
  • Build efficiency and responsiveness into existing operations and help define new operational strategies.
  • Working closely with and providing personal support for Megan - including booking travel and accommodation, managing payments, booking personal appointments and helping life and business run smoothly.

About You

  • 5 years+ experience as an Executive Assistant to C-Suite or Founder.
  • Excellent time management and a methodical organiser.
  • You are unflappable, nothing is too much trouble and you have a spirit of generosity and kindness when working with our team, clients and students.
  • Ability to anticipate needs and streamline workflow for maximum impact and efficiency.
  • A can-do attitude and a stellar reputation for getting stuff done.
  • The ability to learn quickly and use new systems.
  • Excellent communication skills and experience dealing with multiple stakeholders.
  • Experience working in a highly driven environment and ability to work effectively with little direction.
  • High level of written and verbal communication skills.
  • Meticulous attention to detail, high personal integrity and trustworthiness.
